professional to join our team as an Administrative Assistant in Missoula. In this role, you'll
be the friendly face of our office—providing outstanding customer service and a knack for
creative problem-solving.

Essential Duties and Responsibilities:

  • Answer phone calls and greet walk-in customers.
  • Handle incoming and outgoing mail.
  • Maintain accurate customer records in business software.
  • Create, update, and close job records.
  • Prepare invoice requests for accounting.
  • Reconcile crew timecards with production reports.
  • Generate customer statements, track accounts, and issue past-due notices.
  • Organize and maintain filing systems for checks, invoices, jobs, and other documents.
  • Learn and use business applications to assist crew with timecards, production, and expense reporting.
  • Arrange lodging for crew.
  • Set up new hires in business software.
  • Perform additional administrative tasks as needed.

Required Knowledge, Skills, & Abilities:

  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to follow instructions precisely.

Experience:

  • Construction contract administration (optional)
  • Familiarity with Deltek ComputerEase Software (optional)
  • Familiarity with Smartsheet Software (optional)
